What must I remember to do when handing over a property?

From the preparation until the property handover - this article will lead you through the whole process of your tenant's move-in!

Before the property handover

It's important that you do the following before you hand over your property to a tenant:

1. Compare the data in the lease agreement with the data on the tenant's ID

Review if the tenant's personal data entered on the lease agreement and on their ID document match. You can view the ID from the Tenants section of your My Rentals account (Tenants > Agreements > Detail > Uploaded files).

2. Check that the lease is valid

We strongly advise landlords to accommodate a tenant only if they have a valid lease agreement, meaning we have already received the payment of the first rent from them. If they accommodate a tenant without a valid Flatio lease, it's at their own risk, as we wouldn't be able to help them in case any issues appeared.

You can always check the state of the lease from section Tenants of your My Rentals profile (Tenants > Agreements).

3. Check the condition of your property and its equipment

Please pay close attention to this step! Flatio guarantees tenants that when they move into a Flatio property, the actual state of the accommodation will match the photos and description that you included in your property listing, and will provide all the required and listed equipment.

In case the property doesn't match what you share in your advertisement or is otherwise not ready to receive a tenant (for example, is uncleaned), the tenant has the right to withdraw from the lease and get a full refund, while you may face a penalty.

4. Confirm the move-in details with the tenant

It's always good to double-check with the tenant the date, time, and place for your meetup. Please note that:

  • The date of the tenant's move-in is the start date stated on the lease agreement. If you'd like to change the date of the handover, please follow our guide here.
  • The standard time for the handover is set by you for each property and is always officially stated in the lease. However, it is also possible to agree on an individual time change if necessary.
  • The place is standardly at the property's address. If you'd like to meet the tenant elsewhere, let them know the exact address in advance.

During the property handover

1. Sign the Handover protocol with the tenant

When you meet your tenant to hand over the property in person, it's important to fill out and sign the Handover protocol that you should print out before your meetup. You can find its draft in your My Rentals account (My Profile > Documents > Handover and takeover protocols > Handover protocol).

A part of this is also documenting the property's condition with photos or videos to avoid any possible misunderstandings.

2. Ask the tenant to notify us that the handover is complete

The first rent is sent automatically 48 hours after the move-in date (on the 3rd day after the lease begins).

If you'd like to receive the first rent even sooner, you can ask the tenant to contact our support team and confirm a smooth move-in. This means that the tenant confirms they've successfully moved in and the property is as described in the listing without any major problems.

If we receive such a message from the tenant, we'll transfer the first rent to your account on the next business day.
